in-house online booking system at /book/. There is no
separate booking privacy notice; this page is the single statement for both.

What we collect
Online bookings (/book/)
Our booking system is built and run by us. When you complete a booking we store:
- Lead booker details — name, phone number and email address.
- Booking details — date, venue, package and any extras selected. We do not store free-text booking notes.
- Fixed events (Airsoft walk-ons) — the name of each attendee, in addition to the lead booker’s contact details. For other bookings we do not store individual group-member details (only the lead booker and the booking details above).
- Payment records we keep — payment status and transaction IDs so we can track that a booking is paid. We do not see or store card numbers or other card data.
Card payments are processed by IPG, the online payments service used by our bank, NatWest. A billing address may be required by the payment process for card authorisation; that address is not stored in our database. Temporary session data used while you book is cleared once the booking is complete. We do not store cancelled or abandoned carts. There are no customer login accounts.
Enquiries and the marketing site
- Contact details you send us — for example by email or phone (name, email, phone number and the content of your message).
- Technical data — standard web server logs (such as IP address, browser type, pages requested and timestamps) used for security and reliability.
-
Venue preference — the marketing site may store a preferred
venue (Newton Abbot or Exeter) in your browser via
localStorageso “Book Online” links can open the right place. This stays on your device unless you clear site data.
Waivers
Session waivers are paper only. They are handed to the member of staff supervising your group on the day. We do not store waivers digitally.
How we use information
- To take, confirm and run your booking and session
- To send one booking confirmation email, and to reply if you email us about that booking
- To contact you again about that specific booking only when we must (for example a road closure or operational change that affects your visit)
- To respond to general enquiries and provide customer service
- To keep the website and booking system secure and reliable
- To meet legal and accounting obligations where required
We process booking data to perform our contract with you (or steps leading to a contract). We also rely on legitimate interests where appropriate (for example running a secure website and keeping operational records). We do not send marketing or promotional emails. We do not track opens or clicks on our emails.
Cookies and similar tech
We do not currently load third-party analytics or advertising pixels on this site.
- Booking session cookies — used while you complete a booking so the process works. Related session data is cleared once the booking is complete.
-
Venue preference — optional
localStorageon the marketing site (not required to browse or book).
If we add analytics or marketing tools later, we will update this policy and, where required, obtain consent before non-essential cookies run.
Payments (IPG / NatWest)
Card payments are handled by IPG, the online payments provider used by our bank, NatWest. We never receive or store your full card details. We only record payment status and transaction IDs against the booking so we can confirm payment. Any billing address entered for card processing is used for that payment process only and is not stored in our database.
Sharing your information
We do not sell your personal data and we do not share booking or enquiry data with third parties for their marketing or other commercial purposes.
Card payments are processed by IPG (via NatWest) as described above — they receive the card data needed to take payment; we do not. We may disclose information if required by law or to protect safety and legal rights.
How long we keep data
- Completed booking records — kept for a maximum of 5 years.
- Cancelled or abandoned bookings — not stored (no abandoned carts retained).
- Emails — kept in our email systems with no fixed automatic deletion date (for customer service and records).
- Server logs — kept for a limited period for security and reliability.
- Venue preference in your browser — until you clear site data.
Your rights
Under UK data protection law you may have the right to access, correct, erase or restrict certain processing of your personal data, and to object to some processing or request portability where applicable. To exercise these rights, contact info@uczpaintball.com.
You can also complain to the Information Commissioner’s Office (ICO) if you are unhappy with how we handle your data.
Children
Our activities may include children (from age 8 depending on the activity). Online bookings are made by an adult lead booker. For most packages we only store that lead booker’s details (plus booking and payment tracking data). For airsoft walk-ons we also store each attendee’s name as provided by the booker. Paper waivers for players are collected on the day and not stored digitally. We do not use children’s data for marketing.
Changes
We may update this policy from time to time. The “Last updated” date at the top will change when we do. Please review this page if you return later.
